Presenter guidelines
​
All presentations will take place and be viewable on our conference site Whova as well as in-person (with the exception of poster presentations). All conference content and events will be viewable and joinable from within the Whova platform. Information on Whova has been released to all attendees. If you have not received an email from Whova, kindly contact the AASP Secretariat at aasp2025secretariat@gmail.com.
Online presenters/Audience:
For speaking presentations (papers and symposia), online presenters should go to their Whova session at the correct time and click on the "screen" above their session title 10 minutes ahead of time to join your session. SPEAKERS will be shown 2 options, including the option to join via ZOOM, which is recommended. After you click this option, your own Zoom client will open the room like a normal Zoom meeting. (For audience members, you will only see the option to join via zoom on Whova, and will also be able to view and participate inside the Whova platform.) Please note that because each Zoom room corresponds in real time to an in-person Hall, you may find the previous session finishing up in your Zoom room; please be aware and considerate. Further instructions will be released once zoom links become available on the Whova platform.
Note that Plenary sessions will be in "webinar style" with the online audience not showing on-screen. Paper sessions and symposia will look like a normal Zoom room event.
Overall arrangements and timing information:
Symposia and Paper Sessions have been arranged into fifteen to nineteen time slots of eight parallel sessions. Posters have been arranged for three days of approximately 50 posters each. Please see the conference schedule above for more details.
Symposia: The 15 Symposia have been assigned to either a 45-minute or 60-minute timeslot depending on number of speakers and discussants. A symposium consists of three to four individual presentations, and one or two discussant(s) may also be included. Symposia can include a mix of online and in-person speakers. The Symposium Chair is encouraged to discuss with presenters and discussants how to use their time, and how to arrange Q&A time.
Single paper sessions: The 258 Single Paper presentations have been grouped according to multiple themes (when possible). The paper themes will be visible on Whova. We have assigned volunteers to Chair the paper sessions. Each paper presenter should expect to give a 12-15-minute oral presentation of their research. We recommend that speakers restrict their presentation time to <12 minutes to allow time for at least one question. Presenters may be online or in person.
Poster presentations: The 134 Poster presenters have been assigned to a lunchtime timeslot on Day 1, Day 2 or Day 3 (60 minutes). Poster presentations provide time for interactive, informal discussions between presenters and attendees. Thus, authors should expect to be present at the poster session during the designated time, and looking forward to interacting with the general audience as well as other poster presenters.
Hybrid mode conference
To give presenters and audience maximum ability to participate in the conference, we are looking forward to running a "Live Hybrid Mode" conference. Many are eager to finally enjoy the energy and spontaneous sociality of an in-person conference, and we do encourage everyone to come enjoy the conference in Malaysia if you are able!
But we are also happy that to maximise accessibility, we're able to offer the option to participate online.
For all participants, we will use Whova to organize the hybrid schedule, allowing seamless attendance either on Zoom or in person. Each physical room will have a matching Zoom room. On the campus of Monash University Malaysia, we have already reserved eight lecture halls that are new and fully equipped for hybrid teaching, two with a capacity for 200 audience members and the others with 45 seats.
In addition to the usual computer and projection systems, we have full Zoom capabilities, dual computer screens for the speakers' view, dual cameras to switch between seeing the audience and the speaker, and dedicated microphones and speakers for hybrid interaction.
Each room will have two in-person helpers from Monash University Malaysia who will facilitate Q&A and switch between speakers as needed. Our staff, students, and IT service staff have great familiarity with hybrid teaching, and we are prepared to smoothly handle the hybrid mode.
In-person Presentation Instructions
For all in-person paper and symposium presenters, it is mandatory to submit your PowerPoint presentation slides by 4 July 2025. Please also bring a copy of your slides on a USB drive and ensure it is ready for use in your assigned presentation room (in case of technical errors)

For poster presenters, you are encouraged to submit your poster in PDF format so that virtual attendees can view it online.

We kindly ask all presenters to arrive at their designated presentation room at least 10 minutes before their scheduled session.

Online Presentation Instructions
For audience and speakers attending virtually, please prepare your audio and video connection and internet connection on your own computer, and connect online to the assigned Zoom room a few minutes early. No pre-recorded video is needed; speakers and the audience will interact "live".
Online speakers will be asked to "share screen" to display their PowerPoint slides and give their 12-minute talk in live time. (The conference Secretariat cannot help handle pre-recorded videos). Both online and in-person audience members will be invited to ask questions live, either using the chat function or voice.
Online audiences may not be able to attend the in-person poster presentations. Poster content will be viewable on Whova.
Post-event recordings
With the agreement of presenters, after the live presentations of keynotes, symposia, and single-paper presentations are complete, the recordings of live presentations will be viewable on Whova to conference attendees up to 3 months after the conference has ended.
